First of all, here is an explanatory video on the subject:
elloha allows you to enter the booking of a customer you have by phone or for whom you have received a request by email. You can make this booking either from the"Customer on the phone?" module (sales dashboard) located on the home page of your elloha account, or by clicking on the"New sale" button at the top of the page.
To create a booking, after selecting the dates of your customer's stay, you will need to build up their basket. Select the service(s) you want (offers, options, vouchers and gift cards) and then validate the basket by clicking on the blue button at the bottom left of your screen.
Once you have validated your basket, you will be taken to the screen where you can create your booking.
On the left, you will see a summary of your customer's basket (selected services, tourist tax and any service charges you may have set up).
On the right-hand side, you'll find a number of functions. Firstly, there are 3 tabs at the top of the page:
Customer: enter your customer's details, although none of the fields are compulsory, so you can add new information once the booking has been confirmed
Immediate payment (tab displayed by default): allows you to enter a partial or total payment for the customer's booking. Use the numeric keypad to enter the amount to be collected, then click on the payment method you wish to use. The payment will be automatically recorded.
Upcoming payment(available with the Magic subscription): allows you to record a payment that the customer must send you on a specific date to confirm or complete their booking. Use the numeric keypad to enter the amount to be paid, then click on the payment method you wish to use.
At this stage of the booking process, you have the choice of creating the booking or making a quote.
By clicking on the Create booking button, you are invited to take out a guarantee (or not) to validate the booking. A drop-down menu offers you several methods of payment to guarantee the booking.
You can then complete your customer details and save the booking file.
The booking file is now in"Open" status. This status will be different if, when the booking was created, a "payment to come" was entered: the status displayed will be"awaiting payment".
If you wish to send confirmation of your booking to your customer, you must click on the Send link (line labelled Voucher), located to the right of the Contact details block.
The booking confirmation is not sent automatically, as you may have to enter a partial booking request to block the availability of the holiday, which you will return to later to complete any missing information.
By clicking on the Make a quote button, you will be asked to enter your customer's contact details and then you can send them an e-mail by clicking on the Send link (line entitled Quote), located to the right of the Contact details block.
The customer will then be able to validate the quote, which will become a booking file (you will receive an email notification). You can also convert it into a booking at the customer's request using the button at the bottom of the page (see below).
Once the booking has been made, there are several actions you can take to modify or update the customer's booking file.
Here is a list of the actions you can carry out in a booking file:
Delete one or more offers at your request or at the customer's request
Click on the Delete link for the offer in question (same for service charges). A window will appear on the screen allowing you to validate your choice and apply (or not) the cancellation fees attached to the offer.
Add an offer or a Boutique product
You can add one or more offers and Boutique products to complete a customer's reservation file. Simply click on the relevant icons (see below) and select the offer, option or Boutique product that the customer wishes to add. Don't forget to validate the basket once you've made your choice.
Add a payment
Your customer has sent you part payment for their booking by cheque or bank transfer: you can enter the payment to update your customer's booking file.
Go to the relevant file and click on the Immediate payment tab. Use the numeric keypad to enter the payment amount, then select the payment method you wish to use. Don't forget to click on the "Confirm payment" button.
If you haven't clicked on Validate collection, you can delete the collection concerned via the Payment history link to enable you to enter a new collection. Once validated, you will not be able to delete it.
Complete or modify the Contact details block
Once you have selected the relevant reservation file in the Reservations menu of your elloha account, you will find the Client tab on the right of the screen, which is open by default, and which allows you to add or modify your client's details. Don't forget to save your changes by clicking on the Save button.
Send a booking confirmation to your customer
Click on the Send link to send the booking confirmation to your customer by email. Following a change to a customer's booking file, you can send a new, updated booking confirmation.
Sending the invoice
Click on the Send link to send the invoice for your customer's booking file by email.
Enter the tourist tax
You can enter the tourist tax that your customer will have to pay at any time: from the moment the booking is created to the end of the customer's stay. All you need to do is enter the number of people for whom the tourist tax is payable and the number of nights, using the "+" and "-" buttons.
View your customer's credit card details
If a credit card has been used as a guarantee in your customer's booking file, you can access it via secure access by clicking on the View card button in the Immediate payment tab.
View payment history
You can view the payment history of a booking by clicking on the Payment history link in the Instant payment tab. In this history, you will find the payments that have been made and any future payments.
If you notice that an error has been made when entering the means of payment for an incoming payment, you can change it by clicking on the pencil icon (see below). A drop-down menu will suggest other payment methods.
Select the payment method of your choice and click Save.
View your payment terms and conditions, as well as the cancellation terms and conditions and the terms and conditions of each offer
You can view all these conditions by clicking on the relevant links (see below).
Apply a free service to one or more offers (same for service charges)
elloha now allows you to apply a freebie to the offer of your choice if you wish to make a commercial gesture to your customer. It is also possible to apply this freebie to service charges. You need to click on the Free of charge button in the Immediate payment tab.
Then tick the offer to which you want to apply the free service and confirm your choice.
Apply a promotional code to the booking file
You can apply a Promo Code to a booking file that has already been created. Simply go to the Instant Payment tab, click on the Promo Code button and enter the code in the window that opens. Then simply confirm your choice.
Modify the price of an offer
You can now change the price of an offer. Simply click on the link Modify the price of the offer of your choice and then apply a reduction or an increase, in euros or as a percentage, to the initial price of the offer.
Cancel all or part of the booking and apply (or not) the cancellation charges for this action
You can cancel all or part of a booking by clicking on the Cancel button at the bottom right of the booking. A window will appear, allowing you to cancel the entire booking or just one of its component offers.
You will need to indicate whether the cancellation request comes from you, the customer or because the customer has not shown up (no show). You can apply the cancellation fees set up in your elloha account for the offers concerned, or you can enter a lower amount, or even not apply any cancellation fees. Don't forget to confirm your cancellation choice.
