Send a quote to your (future) customers

Do you frequently receive calls from potential customers who want to think about a specific offer before booking? Why don't you use the Quotation function available in your elloha subscription?

To create quotes and send them to your (future) customers:

  • Go to your elloha Dashboard

  • Then go to the block called"A customer on the phone?" or click on the New Sale button

  • Your customers generally have a fairly precise idea of the date on which they plan to stay in your region: to provide them with the most accurate quote possible, enter the date, the number of nights requested and the composition of the rooms (if applicable) with the age of the children (if your establishment offers a specific rate).

  • Click on Display offers and you will be taken directly to all the tariff offers available in your establishment,

  • Once you have presented your contact with the best possible choices for his or her next stay, select the room and price that interest him or her most and click on Book (don't worry, nothing will be blocked ... see below)

  • Creating a quote works in the same way as making a reservation, except that no rooms are blocked: to do this, click on Create a quote

  • Enter the surname, first name, email address, telephone number and address (not compulsory) of your (future) customer so that the quote document is perfectly complete and arrives at the right email address

    • Would you like to send a quote to a foreign customer in their language? Click on the language choice button in the customer data entry form and select the language of your choice (the "Currency" field will allow you to define the amount of the quote in the customer's currency): the quote will be sent in the customer's language

    • Note: if you want your documents to be published in a foreign language, remember to activate translations for all your content (Read here)

  • Once your customer's details have been entered, click on the Save button, then you can send the quote by clicking on Send in the block of the same name.

  • The customer will receive a complete quote in their inbox:

    • with your establishment's contact details,

    • the exact price according to their arrival and departure dates,

    • a link to download the full quote,

    • a link to your rental contract, if one exists,

    • a link to confirm the quote as a reservation,

There are two ways of confirming the quote sent to your customer:

  • either the customer clicks on the link provided in the e-mail and is taken to your booking engine: provided your dates are still available and your prices have not changed, they can confirm their booking directly by entering their bank card as a guarantee,

  • or the customer calls you to verbally confirm their booking. In this case :

    • Go to the Reservations menu on the left of your screen,

    • Select the Quotes tab and after searching and finding (for example, using the customer's name) the right quote, click View

  • Then click on the Convert to booking button

  • To finalise the booking, you can still :

    • change the dates of your stay, either at the customer's request or if your availability has changed,

    • add a promotional code to give your customer an extra discount, as you want to reward customers who book directly with you,

    • collect (or guarantee) all or part of the new booking.

So, as you can see, it's never been easier to produce ultra-professional quotes for your customers and let them turn them into firm bookings!

You can now delete a quote using the Delete button. This will allow you to regularly clean up the list of quotes that have not been followed up (by a booking). This function is manual (and therefore voluntary) so that you can keep a record of the quotes you have selected in order to monitor, if necessary, the conversion rate of your past sales proposals (quotes).

IMPORTANT:

- No rental contract is sent to the customer when a quote is sent. This document will only be accessible if the customer accepts the quote and transforms it into a booking file.

- It is not possible to generate a quote containing only gift vouchers or gift cards.
