How to manage a contact

What you are about to see is essential because you are going to learn how to handle a contact from A to Z. This means :

  • Targeting the right contacts

  • Updating your contact details to get the best-qualified contacts

  • Updating your actions,

  • Plan your future actions to increase your chances of turning this contact into a customer!

Note: when a contact comes to elloha (either because they have filled in a form, or because they have contacted our switchboard or chatted via one of our bots, or because they have created a signup), a qualification is carried out by the sales department (additional information is taken or calculated according to the information gathered):

  • a score is calculated based on a number of criteria (whether or not the booking has already been sold, etc.),

  • a priority is set by the sales department (from 0 to 3, in order of interest)

The higher the score and the higher the priority, the greater the probability ofclosing the customer. In your day-to-day work, it is therefore essential to prioritise sales contacts with these customers.

  1. Remember to note down all your actions: if you don't want to lose track of your sales actions, it's important to note down all your interactions with your contacts. To do this, use the Notes function or the automatic functions for sending emails or making phone calls

    1. when you send an email from HubSpot to a contact, this action is automatically recorded, so you don't have to do anything else

    2. when you call a contact from HubSpot (via RingOver), the call is recorded along with the day and time, so you don't have to do anything else (except for the result of the call: see below)

  1. Remember to use HubSpot to send your emails (see how emails are sent) : by sending your emails from HubSpot, you can see whether the contact has consulted them: below, we can see that the lead opened and saw your email but did not click on any of the links it contained. A priori, this gives an additional indication of interest.

  2. Remember to make your calls from HubSpot: simply click on the telephone number and the call will be made automatically (and recorded). At the end of the call, enter the result.

  3. Remember to update your contact's status too, as indicating that they are Interested or Not Interested does not update their status
