Register your booking with a gift card (Startup and Connect subscriptions)

Updated over 3 months ago

This function is available to the following subscribers: Startup and Connect

With elloha, you can create and sell gift cards.

You can therefore accept these gift cards as payment for your customers' bookings. In this article, we will look at the case of customers who have received a gift card as a present and wish to use it in your establishment.

To accept gift cards as payment for your bookings and when the customer calls you, you only have one option.

I'll give you an example of the process:

A customer buys a gift card from your booking module and pays you directly with their bank card. All you have to do is cash in the booking in question (via Stripe, for example).

Next, the customer who bought the gift card gives it to a friend. The friend in question calls you to book a service, specifying that she has a gift card and giving the name of the person who gave it to her (so that you can find out which gift card has been used and which has not).

All you have to do is create the booking requested by the friend, then select"The balance will be paid on the spot" from the drop-down menu in the window that appears on the screen (since the gift card has already been paid for by the original customer).

Then, in the"Immediate payment" tab of the booking, enter the amount of the gift card and select the"Card or Gift Voucher" payment method.

Your booking is now complete.

Inanother case, the customer may wish to book services for a total greater than the amount of the gift card.

In this case, it's not a cash receipt as for the Magic (via the famous unique payment code). When you create the booking via "a customer on the phone", it is always preferable to enter a means of payment, as it may happen that the stay is for €200 and the gift card is only for €150 (for example).

In this case, all you have to do is cash in the €150 gift card in the booking file (see image above) and the rest will be paid using the method of payment selected at the time of booking.

The difference with the Magic subscription is that with the Connect or Startup, you don't have the option of automatically tracking which card has been used or not.

With Magic, all you have to do is enter the code of the gift card in question to redeem the booking and it will automatically appear in a "gift cards used" tab.

This tab does not exist for Connect.

It is up to you to note which gift card has been used and which has not, and only you can redeem the booking from your extranet.

Note: As the gift card used by your customer has already been paid for (by them or the person who gave it to them), this sum is already in your accounts and, where applicable, has already been taxed for VAT. Consequently, when this gift card is used as a means of payment in elloha, it is not treated as such in the billing (otherwise you would have to pay VAT on this sum a second time) but as a discount.
